Time Sheet Calculator

Fill in your time sheet below. We total each day and the week, split out overtime and work out pay.

What a time sheet calculator does

A time sheet is the record of the hours someone worked: the date, time in, time out, breaks and the total for each day. A time sheet calculator does the adding for you. Enter the times for the week, and it totals each day and the week, and can turn the total into pay.

  1. Enter the time in and time out for each day.
  2. Add the unpaid break in minutes, if any.
  3. Read the daily and weekly totals, and add an hourly rate to see regular pay, overtime pay and gross pay.
  4. Print the sheet or download it as a CSV file for your records or for payroll.

Example: a time sheet with overtime

Alex works Monday to Friday from 9:00 AM to 6:00 PM with a 60-minute unpaid break, which is 8 hours a day and 40 hours for the week. On Saturday Alex works 4 more hours. The week total is 44 hours. At $22 an hour:

Regular pay: 40 × $22 = $880.00. Overtime pay: 4 × $33 (time and a half) = $132.00. Gross pay for the week: $1,012.00.

Enter the same times in the calculator above to check. If you would rather fill out a form by hand or in Excel, use the free timesheet templates (weekly and biweekly, Excel and PDF).

Time sheet or time card?

People use the words for the same thing. A time card is the older name from punch clocks; a time sheet is the usual word for a form filled in by hand or on a computer. Either way, the maths is the same, and this calculator works for both. The time card calculator on the home page has the same tool. If you take a lunch break at a set time, the calculator with lunch asks for lunch-out and lunch-in times instead.

To check the arithmetic by hand, see how to calculate hours worked. For a total across two weeks, use the biweekly time card calculator.

TimeCardPal gives estimates for planning and checking pay. It is not legal, tax or payroll advice. Overtime rules vary by state and job type; check with your state labor department or a payroll professional for your situation.

Frequently asked questions

What is a time sheet calculator?

It is a tool that adds up the hours on a time sheet. You enter the in and out times and breaks for each day, and it shows the daily and weekly totals and, with an hourly rate, the pay.

How do I calculate a time sheet?

For each day, subtract the time in from the time out, take off any unpaid break, then add the days together. The calculator above does this for you.

How do I add overtime to a time sheet?

Under federal rules, hours over 40 in a workweek are paid at one and a half times the regular rate for non-exempt employees. Add your hourly rate in the calculator and it splits regular and overtime hours.

Can I get a free time sheet template?

Yes. The timesheet templates page has weekly and biweekly templates as Excel and PDF files that you can download free.

Is a time sheet the same as a time card?

Mostly. Time card is the older term from punch clocks and time sheet is the common word for a form that is filled in. The calculation is the same.

How do I convert time sheet hours to decimal?

Divide the minutes by 60 and add them to the hours. 7 hours 45 minutes is 7.75 hours. The calculator shows the decimal total for you.
